Who we are
Wetland Link International (WLI) was set up by and is hosted by the Wildfowl & Wetlands Trust, but delivered through a network of members. The Head of WLI manages the initiative and can be contacted by e-mail at wli@wwt.org.uk, by telephone on +44 (0)1453 891214 or at our registered address of WWT, Bowditch, Gloucestershire, UK, GL2 7BT.
WWT Limited is a charity (1030884 in England and Wales, SCO39410 in Scotland and a company limited by guarantee (2882729 England).
Why we process personal data
Personal data submitted to WLI for the purpose of membership registration are processed by WWT. WLI holds personal data in order to maintain contact with members so that they can fully participate in the fulfilment of the WLI objectives and take advantage of the benefits such as sharing good practice, news on funding and resources, and updates on development in wetland CEPA approaches. From time to time WLI may also share its members’ personal details with its affiliates in the interests of collaboration and the sharing of information, such as with colleagues at the Ramsar Secretariat. If you do not want WLI to share your information with third parties on this basis, you can contact the Head of WLI at the contact details above at any time.
As a member of WLI, we will send you regular email-newsletters and other mailings, however you can unsubscribe at any time by following the link at the bottom of each eNewsletter or by contacting the Head of WLI as detailed above. If you submit content for the email-newsletters we may include some contact details of you and your organisation, to encourage interaction between members of the WLI network. If you do not wish us to share your contact information like this please ask.
Any personal information and details of a query, comment, request or complaint submitted by you to WWT through the WLI website are only processed by us in order to respond to you. These details will only be stored for as long as it is necessary for us to process your query, comment, request or complaint.
Data security
WLI ensures that there are appropriate controls in place to protect personal details provided to the organisation.
WLI’s database is only accessible by approved staff, contractors and suppliers and paper-based information is stored securely as required by GDPR.
Your rights
Subject access
Individuals have the right to request at any time the information WWT holds about them, as subject access requests. Such requests should be submitted by contacting the WLI Manager above.
Depending on the nature of the request, WWT may seek a form of identification to verify the identity of the person making it. The information will be supplied within 30 calendar days of the request or the verification, whichever is the later.
Rectification
If individuals believe the information WWT holds about them is incorrect or incomplete, they have the right to ask the organisation to correct it. WWT must respond within one month of the request being received. Requests can be made by contacting WWT’s Data Security Officer.
Objection
Individuals have the right to ask WWT to stop processing their personal data. In this situation, WWT can continue to store the data to ensure the request can be respected in the future, but all processing must cease, unless there is a legal purpose. Requests can be made by contacting the Head of WLI as above.
Portability
Where they have given consent to WWT processing their data, individuals have the right to ask WWT to provide their personal details to another organisation via commonly used open format such as a CSV file. Requests can be made by contacting the Head of WLI.
Erasure
Individuals have a right to have personal data erased and to prevent processing by WWT in the following circumstances:
- Where the personal data is no longer necessary in relation to the purpose for which it was originally collected/processed
- When the individual withdraws consent
- When the individual objects to the processing and there is no overriding legitimate interest for continuing the processing
- The personal data was unlawfully processed (i.e. otherwise in breach of the GDPR)
- The personal data has to be erased in order to comply with a legal obligation
- The personal data is processed in relation to the offer of services to a child.
WWT can refuse to comply with a request for erasure where the personal data is processed for legal reasons or other scenarios that may be in the public interest as specified by the ICO.
Erasure requests can be made by contacting the Head of WLI.
Compensation
If individuals believe they have suffered damage because WLI has behaved in breach of Data Protection law, they are entitled to claim compensation.
This right can only be enforced through the courts.
The law allows WWT to defend a claim for compensation on the basis that the organisation took all reasonable care in the circumstances to avoid the breach, that is, by complying with Data Protection legislation when processing data.
If you have any concerns about how your data is being used, we will try to answer any questions you have. If you believe that any aspects of your privacy rights or data protection have been infringed by WWT, you can complain to the UK Information Commissioner’s Office (ICO). Sharing information with others
Providing personal information to third parties
WWT will only use personal information within the organisation for the purposes for which it was obtained.
WLI may share your information with third parties who are also actively engaged in conservation, for example the Ramar convention, the African Eurasian Waterbird Agreement or the East Asia Australasia Flyway Partnership. This information is shared purely in the interests of promoting education and awareness of conservation issues.
WLI and WWT will not, under any circumstances, share personal data with any third party organisations for their use or sell it to them for their own marketing purposes, and individuals will not receive marketing communications from any other companies, charities or other organisations as a result of providing their details.
Legal requests
WWT will comply with legal requests where disclosure is required or permitted by law and a written request is received, for example, to government bodies for tax purposes or law enforcement agencies for the prevention and detection of crime.
The length of time personal information will be retained
WLI will hold personal information on its systems for as long as it is necessary for it to carry out the relevant activity requested by the individual and as in line with the consent given.
The personal information of individuals who are no longer engaged with WWT / WLI will be deleted within 30 days of being informed.
If an individual asks WWT to cease contact, a record of the request will be kept along with the individual’s personal details to enable WWT to comply with the request over time, but this period will be no longer than the length of time stated above.

Users contacting the WLI website do so at their own discretion and provide personal details at their own risk. Every effort has been made to ensure a safe and secure form to email submission process

Star Wetland Centre Awards
Applicants for the Star Wetland Centre Awards must submit their information via form on the WLI website. The WLI website will store their submitted data, including images and documents they upload, for the duration of the current round of the Star Wetland Centre Awards. The judging panel will share the application forms with each other, and their assessment.
The Award is only available to existing members of WLI.
Applicants have the option of registering on the WLI website as a 'subscriber'. This is optional, and only adds one function: to be able to save their application in-progress, and return to submit it another time. This holds their login details in a secure manner as provided by a third party plugin. These details are only used for this one purpose and will be removed after the Award round has closed.
Media
If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.
